Nine steps, one record
A grower is registered. An advance is issued against a season. A field is planted and worked. An application is recorded against a block, with the product, the rate and the person who chose it. A harvest is weighed and graded into lots. Lots are combined, packed and consigned. The delivery is netted against the advance. A settlement is paid, with a statement the grower can read. The evidence pack assembles from all of it.
The point is not that each step is recorded. Most operations record most of them. The point is that they are the same record — so the settlement can name the deliveries it nets, and the audit pack can name the applications it rests on, without anyone reconciling two systems by hand.

Where it breaks without one record
A grower advanced for six tonnes delivers four. Where is that recorded, and who works out what they are owed? In most operations the answer involves a delivery note, a stock issue and a payment run that were never designed to be compared, and a person who reconciles them from memory.
That question is the whole diagnostic. If your current answer is quick and checkable, you do not need us.
